Vacancy: Project Coordinator Consultant

Job Description

Location: Remote (within the US)

Reports to: CEO

Status: Consultant, 3-month contract (approx. 24 hours/week) with potential for extension, depending on funding availability

Role Overview:

JMO Communications is seeking a proactive, detail-oriented Project Coordinator Consultant for a temporary consultancy (approximately 24 hours per week). This is a 3-month contract with the potential for extension or transition to a longer-term or full-time role, depending on funding availability.


The ideal candidate will operate independently but coordinate regularly with the JMO team. The work involves supporting project management, client coordination, internal team collaboration, and marketing.


This role is ideal for someone who thrives in a dynamic, fast-paced environment, enjoys juggling multiple priorities, and is eager to learn and grow. The successful candidate will be passionate about communications, ready to roll up their sleeves, and willing to do what it takes to get the job done. You’ll collaborate closely with the CEO and a dispersed global team, contributing to both operational excellence and creative problem-solving.


Key Responsibilities:

  • Assist CEO in the planning and implementation of projects, ensuring timely delivery within budget and scope.
  • Support business development tasks—tracking procurement opportunities, coordinating outreach, and helping draft proposals.
  • Coordinate with internal and external team members to schedule meetings, prepare agendas, take minutes, and follow up on action items.
  • Maintain and update project documentation, including project plans, reports, spreadsheets, and presentations.
  • Monitor project timelines and milestones, providing regular updates to the team.
  • Act as a liaison between project teams, clients, and vendors to ensure clear communication and effective collaboration.
  • Create and manage marketing materials for the company, including designing and managing social media content (Canva and Hootsuite), drafting newsletters (Mailchimp), and maintaining the company website (CMS), and drafting blogs.
  • Assist in resource allocation and management, including tracking team assignments and availability.
  • Support financial tracking and budget management.
  • Contribute to the continuous improvement of project management processes and tools.
  • Provide administrative support by maintaining records and filing systems, monitoring and updating contracts, and performing other administrative duties as needed.


Qualifications:

Required:

  • Bachelor’s degree in Business Administration, Communications, Project Management, Journalism, or a related field.
  • 1-3 years of experience in project coordination, preferably in U.S. Government or international development contexts.
  • Strong multitasking and organizational skills, with the ability to manage competing priorities.
  • Excellent verbal and written communication skills, with an emphasis on clarity and precision.
  • Proficiency in MS Office Suite and project management software.
  • Ability to work collaboratively in a team environment and manage relationships with diverse stakeholders.
  • Demonstrated problem-solving skills and adaptability in a fast-paced environment.
  • Legal authorization to work in the United States.

 

Preferred:

  • Previous experience working in a remote team environment.
  • Experience with Asana, Salesforce, MailChimp, and/or SharePoint.
  • Project management certification (e.g., CAPM, PMP).
  • Master’s degree in a related field.
